We are seeking a full-time Project Manager to join our language services company. The candidate will primarily focus on managing translation projects in the most efficient way. A successful candidate is a resourceful and motivated individual with excellent interpersonal, project management and problem-solving skills. The candidate will be working remotely.
Primary Responsibilities
These are the primary responsibilities that will be part of the candidate’s day-to-day work. The individual must also be resourceful and willing to help with other duties as necessary.
- Manage incoming projects and delivering them to the client’s expectations.
- Lead the efforts of identifying the right translators and language experts for projects.
- Manage language professionals and the daily schedule of the internal team while maximising the company’s available capacity.
- Pre-process files and analyse them using translation memory tools.
- Define and manage the project workflow.
- Compile quotes and proposals to be approved by clients, including the completion of RFQs or tender documentation.
- Negotiate with language professionals and clients to deliver the best value and build strong relationships with both, while achieving financial sustainability.
- Manage client expectations regarding cost, quality, and deadlines.
- Split projects into multiple tasks and closely monitor the status of each task to minimise risks for all stakeholders, especially the end client.
- Be prompt in responding to queries from clients and language professionals regarding projects and tasks.
- Update client and company translation memories, termbases, and glossaries as necessary.
- Prepare projects for translation while leveraging all available company resources.
- Conduct final QA, styling, and formatting checks as necessary for certain projects.
- Manage and liaise with other project managers who might be involved in specific projects.
- Address project management and workflow issues, proposing solutions to resolve problems and rectify situations, ensuring projects are completed on time, within budget, and to the agreed-upon quality standards.
- Escalate things as necessary in line with management instructions.
- Keep project management tools and any other systems updated as necessary.
- Contribute to the completion of client onboarding Request for Information documentation.
- Identify inefficiencies and proactively suggest improvements to company processes.
Requirements
- Bachelor’s degree. The grade must be second-upper or higher.
- Maltese is your native language.
- Strong verbal and written communication skills in Maltese and English.
- Postgraduate qualifications in translation would be considered an asset.
- Strong analytical, problem-solving, communication and IT skills.
- Strong numeracy skills. Highlight your highest academic achievement in mathematics, together with the associated grades, in your CV.
- Strong project management skills, including resource scheduling, prioritisation of tasks, negotiation, anticipating issues, managing risk, minimising assumptions, time management and the ability to handle several projects concurrently.
- Assertive, personable and approachable, both with customers and the entire team.

- Experience in the language services industry is considered an asset, but not required.
- Experience with CAT tools and the latest translation technologies is considered an asset, but not required.
- Experience in establishing new client relationships and growing existing client accounts is considered an asset, but not required.
Previous experience in project management and areas mentioned above is always considered a plus. However, the various soft and interpersonal skills required are also very important in the long term.
